What Is a “Day-Of Coordinator?”

Like a wedding planner, a Day-of Coordinator will  handle all of the details on your special day. This allows you to enjoy your wedding day and having peace of mind that your celebration is running smoothly. This is especially important for the couple, who can relax and enjoy the day with family and friends, and not have to worry about the details.

Although called a “Day-of Coordinator,” she will begin working on your wedding weeks before the day arrives. You will most likely meet with the coordinator either in person, via email, and/or via telephone a least a month ahead of time. It will be important for both you and your fiancé to work through exactly what you envision for your day and be prepared to discuss this vision with your coordinator.


Keep in mind, your coordinator will only know what you tell them about the details of the event. This is why it is so very important to communicate your wants and needs which include a detailed timeline, list of vendors, and anything else you want the coordinator to be in charge of.

You can expect your coordinator to arrive early for set-up and stay late for clean up; however, it always is a good idea to ask directly what her time schedule is, just to ensure you are all in agreement.

What You Can Expect from a Day-Of Coordinator

A Day-Of Coordinator can be expected to handle setting up the venue and making sure everything is in the right place at the right time.

Some typical duties may include:

  • Setting up flowers, decorations, place cards, favors, guest book, etc. at the reception venue
  • Setting up flowers and programs at the ceremony’s location
  • Contacting vendors with day-of issues, such as finding out why the wedding cake is late
  • Coordinating transportation for the bridal party, guest shuttles, valet service, etc.
  • They deal with any site or vendor issues that might arise, so you won’t have to.

There may be other areas that you’d like your Day-of Coordinator to handle for you as well. These are best to be discussed at your initial consultation. Some important questions to ask are:

  • When do you arrive at the venue to begin your work?
  • Will you create an itinerary/timeline for me and other participants, such as the wedding party and my vendors?
  • Will you bring an assistant with you?
  • Will you be sure personal items will be returned or have a designated person at the end of the night gather items such as the cake knife/server, toasting glasses, etc.?
  • How long will you stay after the event is over to be sure any last-minute issues are taken care of?

What Your Day-of Coordinator Needs to know

In order for your coordinator to the best job for you, she needs to be well informed regarding your event. Here is a list of some of the must-haves your coordinator will need:

  • A rough outline of your wedding day schedule and activities
  • A detailed "to-do" list for setting up the venues
  • A list of your expected vendors. Also, let the vendors know that you have hired a Day-of Coordinator and this will be the contact person who will handle the days events.
  • A Contact List with names, phone numbers, and emergency back-up contacts

How Much does a Day-of Coordinator Cost:

Day-of Coordination Services costs less than full planning as most of the responsibilities you have already  taken care of. With this type of service you can expect to pay about $1,000.This price typically covers working with you on timeline creation, confirming details with your vendors and overseeing the entire event and resolving any issues that arise on the day of the wedding.
